This policy explains how Agentic Schools Ltd uses artificial intelligence, both in the KeelOS product and in our own work.
Our position
KeelOS uses AI to take on the repetitive work that old systems leave to people, so they get their time back for the work that needs a person. We use it where it genuinely helps, and not simply because we can.
Our principles
- People decide. AI can suggest, draft and automate, but decisions that matter stay with a person who can see what the AI did and change it.
- Your data stays yours. Data held in KeelOS is used only to provide KeelOS to the organisation it belongs to. We do not use it to train public or third-party AI models.
- Approved tools only. We use AI models and services only after checking their security, privacy and data-handling terms, and only under agreements that protect your data.
- Open about it. We say where AI is at work in KeelOS, and we can explain what it does and why.
- Fair and accurate. We test AI features for accuracy and bias before they reach you, and treat an unfair or wrong result as a defect to fix.
- Accountable. If AI gets something wrong, it is our responsibility. We fix it and learn from it.
How we work
Our team, and our development partner 3 Sided Cube, use AI tools to research, prototype, write and review code and draft content. Every output is reviewed by a person before it is used, and customer data is never entered into AI tools outside KeelOS’s own approved services.
Schools and children’s data
Schools hold some of the most sensitive data there is. Where KeelOS is used in a school, AI features work within the school’s own controls and our data processing agreement with them, and we follow the Information Commissioner’s guidance on AI and data protection.
Keeping this current
AI changes quickly, so we review this policy at least every six months.
